BOARD OF DIRECTORS MEETING

 

October 5th, 2004

At 6:30, the BoD meeting was called to order by Tom Base

 

The minutes of the August 31st BoD meeting were reviewed and approved 5/5

 

More than 6 homeowners were present to volunteer these Good and Welfare discussion topics:

Þ       Daytime security guard not being helpful => didn't help serviceman locate home; when transponder didn't work, guard not helpful

Þ       Cost of hurricane clean up

Þ       After the hurricane, why wasn't the front cleaned up right away

Þ       FEMA should be contacted for emergency expenses

Þ       Each HO could file with FEMA

Þ       Deductible for HOA insurance?

Þ       A HO offered construction equipment services at cost

Þ       Are officers of the court allowed in for citrus trees?

Þ       The gate along Wiles should be closed and locked by the bush hogging company

Þ       The HOA meeting notice and agenda were not on the website

 

For the Welcoming committee, Bob Filoramo volunteered. The Newsletter committee still needs a volunteer

 

Property management report discussions included:

Þ       The delinquency report.

Þ       The violations report was the same as last month because of the hurricanes. Letters will go out next week

Þ       The Grievance committee needs to meet. Alternate committee members volunteered

 

The Treasurer's Report was suspended because of the hurricanes

 

Legal issues were discussed:

Þ       Case #1 repayment plan is being followed OK

Þ       5/5 approved the sending of the four outstanding delinquency cases to legal

 

Crime Report

Þ       A smash and grab of a wallet in a vehicle was reported on Rothschild


 

Old Business

Þ       The guardhouse painting has been completed

Þ       For the lake level, drains were cleaned before the hurricane. Cleaning should be scheduled for every 2 to 3 years

Þ       Fallen trees and debris were removed after hurricanes Frances and Jeanne.

Þ       The irrigation system is being repaired from the hurricane damage

Þ       For overnight parking, 5/5 approved vehicle towing for further violations after the grievance committee process

Þ       For the lakes east of Rothschild, no trespassing signs will be posted with proper wording and spacing. Both entrances should be closed off.

Þ       4/1 approved the elimination of passwords for gate entry. Passwords will only be used for verification of HO calls to the guardhouse. Passcode entry needs to be removed from the Post Orders. A letter will notify HOs of this change

Þ       For improved security, every non-transponder lane entry must be ID'd and logged into the computer

Þ       An update to the Rules & Regs will include: transponder gate denial for delinquencies; additional guards required for large parties; towing for overnight parking

Þ       Pavers around the guardhouse and the DVR archive projects will be tabled til '05

Þ       For the front monument, the 10 degree tilt needs to be corrected and the hedge around it either lowered or eliminated

 

 

New Business:

Þ       Quotes are needed for to eliminate grubs

Þ       The cost of the hurricane damage clean-up and repair was discussed. A special assessment was considered

Þ       The '05 HOA budget will be prepared for review with the HO's in the first week of November

 

Tabled items remained tabled:

Þ       Tree trimming all street trees

Þ       Wiles Rd homeowners covenant

Þ       Pre-litigation agreement

Þ       Install FPL blind on both sides of Rothschild

 

The meeting was adjourned. The next BoD meeting will be November 1st at 6:30
