BOARD OF DIRECTORS MEETING

 

December 7th, 2004

At 6:50, the BoD meeting was called to order by Tom Base. A review meeting with Benchmark preceded the BoD meeting. As a result of the meeting, a 'To Do' list is to be maintained is to be maintained by the property manager. Benchmark is be more pro-active in supporting the property manager

 

The minutes of the November 1st BoD meeting were reviewed and approved 5/5

 

More than 6 homeowners were present to volunteer these Good and Welfare discussion topics:

Þ       Tree removal east of HHE

Þ       What kind of replacement trees

Þ       When will the construction be completed

Þ       The gate is open allowing people to drive in and fish

Þ       For the barring program, a HO volunteered to talk to neighbors along Rothschild

Þ       Costs of the Chardonnay tree replacement seems excessive

Þ       For future hurricanes, contract a cleanup service beforehand

Þ       The hurricane action plan for next year should be a regular BoD agenda item

Þ       Options are wanted for post hurricane clean up

Þ       A Hurricane committee was suggested. Three people volunteered. The action item is to write down all past experiences and have a written plan by May. Volunteers should be requested in the Newsletter.

Þ       A second rummage sale was suggested and approved

Þ       A directory of HO's emails was suggested

Þ       A common landscaping service for all HO's was suggested

Þ       Loose dogs are a hazard to children

 

For the Welcoming committee, a budget was requested

For the Newsletter committee, a list of HO emails was requested; a web page was suggested; advertising for $ was suggested

For the Social committee, the Block Party was suggested to be in March or April during spring break

For the Website committee, additions to the website for the committees are being added

 

There was no Treasurer's Report:

 

Crime Report

Þ       No crime in October

 

Legal issues were discussed:

Þ       Three HO's are into collection.

Þ       Six HO's missed the special assessment

 

Property management report discussions included:

Þ       The delinquency report.

Þ       The next property inspection is scheduled for Tuesday

Þ       The landscaping on the SW corner of Chardonnay is complete but needs some areas to be filled in better. The irrigation for these new trees is working. The Bismark palms look dead but they aren't.

Þ       The Children at Play sign repair is scheduled for Friday

Þ       For the pavers around the guardhouse, bids have been requested

Þ       Wiles lights are repaired

Þ       The East FPL No Trespassing signage is now magically in compliance.

 

Old Business

Þ       For the mailbox policy, 14 are not in compliance - 7 of these have brass numbers.  Sending a letter assessing the HO's the cost of getting the mailboxes into compliance was approved. These should go the 7 without brass numbers

Þ       To touch up the paint on the HHE monument, doing it ourselves was suggested

Þ       For the lake level, no more water will be released into our lake. A note in the newsletter to reduce usage was suggested

Þ       For the non-functional light posts, letters should be sent to the HO's.

Þ       For the Security issues, the guards ID everyone. The policy is => show ID or your not allowed in. Abusive HO's are harrassing the guards. A Security committee was suggested for complaints to be sent to. A letter would then be sent to the offending HO's. Further violations would go through the due process of the Grievance committee

Þ       Three HO's volunteered to be on the Grievance committee

Þ       The Auditors year end statement should be available in March

Þ       For the overnight parking, the policy is => two warnings, a letter, Grievance committee due process, tow

Þ       The DVR for the guardhouse cameras will be differed

Þ       Rules and Regs need to be updated with the new gate procedures

Þ       A landscaping standard and committee is needed. A HO will be contacted to help.

 

New Business:

Þ       No new business

Þ       Pre-litigation agreement

Þ       Install FPL blind on both sides of Rothschild

 

The meeting was adjourned. The next BoD meeting will be January 4th at 6:30
